Voicemail Timing Explained

This article will explain how the scheduled delivery time works for Voicemails as well as when it would be overridden.

Voicemails are a great way to connect with clients to advertise additional services, remind them to schedule their next service, or check in after a service has been completed.

Now, with SendJim, you can schedule your voicemails to be delivered at the time you want them to whether you schedule them inside SendJim or from your CRM.

When you create your Voicemail you will have the option to set "My Delivery Time".

This time is your local time based on your company's location listed in your Company Profile.

Once you "Save," the time you selected will be the time SendJim will send your voicemail when it is scheduled inside the system by you, or your CRM. Voicemails set to send out "immediately" will be sent immediately outside of blackout times.

For the examples below, "Jim" has created a VM and set the Delivery Time to 3 pm CT.

  • Jim goes into his My Addresses and selects 30 people to receive his saved VM:

    • If setting the voicemail to send out "Immediately," the voicemail will be sent out immediately regardless of the 3 pm CT saved time.

    • If setting the voicemail to send out on a delay of 1 day, 1 week, etc, the voicemail will be delivered at 3 pm CT on its scheduled day.

      • You can choose to send out a voicemail immediately or delay it by clicking the clock icon at the bottom of the Quick Send pop-up.

  • Jim has set up an automated mailing of his saved VM:

    • If the CRM is sending a standalone VM that is not part of a sequence with a delay, it will go out immediately.

    • If the CRM is sending out a VM that is part of a sequence with a delay, it will be delivered at 3 pm CT on its scheduled day as long as it's not during a blackout time.

      • You can view if your voicemail is part of a sequence with a delay by clicking "Edit" on the sequence in "My Quick Sends." To adjust the delay, click the clock icon in the Sequence Builder.

Voicemails are subject to Blackout times:

  • No voicemails will be sent between 11 pm-7 am ET on any day. Any voicemails set to be sent during this time will be delivered at 7 am ET the next available day.

    • If Jim goes into his account on Thursday at 11:30 pm CT, chooses 30 people to send his VM to, and sets it to be delivered immediately, the VM will be delivered at 7 am ET on Friday.

  • No delayed/scheduled voicemails will be delivered on Saturday or Sunday.

    • Voicemails that are scheduled to be sent out on Saturday or Sunday will be sent on Monday according to that voicemail's time settings.

      • For example:

        • If Jim goes into his account on Saturday at 12 pm CT, selects 30 people to receive his VM, but sets the VM to be delayed by 1 day, it will go out on Monday at 3 pm CT.

        • However, if Jim's voicemail is part of an automated sequence where the VM is set to send 1 day after the sequence is triggered, the VM would not be sent until Monday at 3 pm CT if his CRM started the sequence on Friday since the VM's originally scheduled date would have landed on Saturday.

    • Voicemails that are set to send out "Immediately" will still be sent out immediately even if it's on the weekend.

      • If Jim is in his account on Saturday at 12 pm CT, selects 30 people to receive his voicemail, and sets the voicemail to be sent immediately, then the VM will go out right away.
